1. Introduction

This Privacy Notice explains how we at Clyde View Bed & Breakfast process and use any personal information we collect about you when you book a room through our website, by email or by phone.

2. The information we collect about you

When you make a booking with us, we collect the name, home address, email address and telephone number of the person making the booking. We also collect a debit or credit card number to take payment for your stay. We need this information in order to perform the contract and process payment.

Guest registration – We are required by law to collect the following information on all our guests. We do this by asking you to complete a registration form on arrival.

For all guests:

  • Name
  • Nationality

Plus, for guests from outside Britain, Ireland and the Commonwealth:

  • Passport number and place of issue
  • Next destination (including address if known) 

We do not collect any special category data as defined by the Information Commissioner’s Office (ICO).

3. How we use the information we hold about you

We only use your personal data as legally permitted:

  • to perform the booking contract between us
  • to comply with legal or regulatory obligation.

We use your home address as part of the card payment processing to validate the card.

We will use your email address to send you confirmation of the booking or to contact you in relation to your booking. We may also send you an email closer to your arrival date with more details on how to find us and other information you may find useful for your stay.

After your visit we may send you an email checking everything was ok with your stay and asking for feedback.

If you have given us your telephone number, we will only use it to contact you if we need to cancel your booking or give you some important information at short notice; in an emergency; or if we have been unable to contact you by email.

4. Storing your data

All of the personal and debit/credit card data you supply us, as part of the booking process, is stored securely on a third party system, Freetobook.

Neither we nor Freetobook will share your information with any third party unless there is a legal reason for doing so, or as part of the ‘test and trace’ process during the COVID-19 pandemic.

We may also keep a written record of your name, email address and phone number. This, and the guest registration information (detailed in paragraph 2 above), will be stored securely in a locked filing cabinet.

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for and to comply with any legal, accounting or regulatory requirements. For example:

Accounting records – By law we are required to keep basic information about our customers for seven years for tax purposes.

Guest registration (see paragraph 2 above) – We are required to keep this information for 12 months and show it to a police officer if requested.

Any paper records will be safely destroyed by shredding when no longer required.

5. Access to your information

You have the right to request a copy of the information we hold about you, for the information we hold to be corrected and for the information to be erased (subject to the legal and accounting requirements shown above). Please refer to the ICO for full details of your legal rights.

6. Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.
